Privacy Statement

Purpose of this statement. This page explains how EJSIR Journal of Advances and Applications in Computing, Data Science and Intelligent Systems handles information supplied through its Open Journal Systems (OJS) website and editorial workflow. It applies to authors, reviewers, editors, registered users and visitors who use account or submission features.

Information & use

What information is handled

Depending on how you use the journal, information may include your name, email address, affiliation, account and profile details; manuscript files, title, abstract, keywords and contributor metadata; and correspondence, reviewer comments and editorial decisions created during review. The site and its hosting environment may also record technical session and access information needed to operate accounts, submission steps and security controls.

This information is used to administer accounts, receive and assess manuscripts, coordinate editorial and peer-review work, communicate about a submission, maintain journal records and operate the website.

Editorial workflow

Access and confidentiality

Access is limited to people whose journal role requires it, including authorised editorial staff and the reviewers assigned to a manuscript. Hosting, storage or email service providers may process information as needed to operate the journal platform and its communications. Manuscript files and metadata are shared only as needed for the relevant editorial task or where disclosure is required to address a legal, integrity or security matter.

The journal uses a double-anonymous review workflow. Authors should follow the submission instructions to remove identifying information from the review copy; document properties and supplementary files can also reveal identity. Reviewers and editors are expected to keep unpublished materials and review communications confidential.

Published record

What becomes public

When a manuscript is accepted and published, the journal may display the bibliographic information needed to identify and cite the work, including author and contributor names where applicable. Access to the article, its licence and copyright terms are shown with the published record and are governed by the journal’s stated publishing policies. Account credentials, private contact details and confidential review correspondence are not part of the public article record.

Site operation

Retention and account choices

OJS uses technical session data to support functions such as signing in and completing a submission. Account and editorial records are retained as needed to administer submissions, maintain the scholarly record, support research-integrity processes and meet applicable operational or legal requirements. The appropriate period depends on the record and its purpose.

You can review or update information in your account where those controls are available. To ask a question or request correction of personal information, contact the journal through its Contact page. Requests are considered in light of the editorial record, publication responsibilities and applicable requirements. The journal does not sell personal information or use it for unrelated advertising.

Questions? Please use the journal’s Contact page for privacy-related enquiries. Do not include passwords, confidential manuscript files or other sensitive information in a general enquiry.
